Summary of Updates Included in this Newsletter

Annual Meeting - February 4th @ 9AM

Historically, our HOA meetings have occurred on Wednesday evenings, however, after reviewing feedback from the last annual meeting, and failing for many years to obtain enough attendees to establish a quorum, we are trying a new date/time for the meeting. Please come out and support your community!

Our next Annual HOA Meeting will be on Saturday, February 4th at 9AM. 

2017 Budget Established

After taking all projected expenses into consideration, including those forecasted in our latest reserve study, the HOA Board was able to establish the 2017 Budget during our November meeting.  As communicated at last year's annual meeting, the alleyway residences require additional reserve funding and will see an increase in dues. For other residents, there were no major changes impacting the budget or the upcoming HOA Dues for 2017.

HOA Fees Due Feb. 1st.

You should soon be receiving the payment books for the HOA Assessment (dues) for 2017. Payments are due by February 1st, 2017. As members of an HOA, all homeowners are responsible to pay their annual dues, with no exceptions.

Failure to pay these dues on time results in late payment penalties, possible legal action (including repayment of legal fees), as well as increased efforts by your volunteer HOA Board. We’ve been fortunate that our delinquent accounts have been minimal over the years; but in those rare cases of sustained non-payment and failure to communicate with the Board, legal action may include filing a lien and commencing foreclosure proceedings. If you have any doubts or questions about the status of your account, please contact Kali Herring, our community manager.

Make a Difference in Your Community

The Sunset Oaks HOA has several volunteer positions open this year.  Please consider nominating someone (or yourself!) to participate in keeping our community amazing!  We have the following positions open:
  • Board of Directors - We have 2 openings that need to be filled by members from the south side (Sunset Oaks). The current Board would really like to see at least one person from "The Cottages" interested in being on the board.  The positions typically require attendance at quarterly board meetings and approximately 2-4 hours per month for calls/emails to conduct business, vote on decisions, etc.
  • Architectural Board - We have 2 openings that need to be filled by members from any part of the neighborhood. The positions typically require occasional meetings with homeowners to go over ARB requests and 2-4 hours per month to review and vote on ARB requests submitted by homeowners.  There is some seasonality involved.
We do hope you would consider joining the current volunteers in our community.  We also want to give a warm "Thank you" to our outgoing Board Members: Chris Olszak, the current HOA President, and Kim Bellew.  They have donated 3 years of their time to our community, and we are sad to see them leave.

RFP for Community Management

As an update, the Board has received many responses from management firms interested in assisting with the day-to-day management of our HOA.  William Douglas, the current HOA Management Firm, has been managing our HOA since 2009, and the Board felt it is important to perform due diligence in exploring the services and pricing of other reputable firms.

No decision has been made at this time, and we encourage you to share your thoughts on what you would like to see from your management company. You can provide feedback here -

Pet Waste Stations

Thank you to all the community members that provided their feedback regarding the maintenance of the pet waste stations.  The HOA Board had decided to try a new service for the year due to a significant cost savings, but it seems the new service did not meet the expected standards of our community. As such, we have re-engaged with Doody Calls as of December 1st, 2016 to maintain our pet waste stations. We hope you have already started to notice a positive impact.

Thank you to all of those homeowners that reported their issues. This is a perfect example of the community providing the critical feedback we need in order to ensure we are consistently improving the quality of our community.
