Welcome to H.I.Mentors first newsletter of 2013. Having just returned from New Orleans and HIMSS 2013, it can may be difficult to step back and refocus on your strategic goals and operational plans with all the vendor choices and regulatory events looming in healthcare. Keeping your cool while implementing new software, improving your performance, or accommodating regulatory changes such as Meaningful Use Attestation or ICD-10-CM/PCS adoption can be daunting.

Once you have put your 2013 plan together to identify your objectives and how you are going to reach them, just make sure to keep it handy and use it. So many of us put a great deal of effort into preparing our one, three or five year plans, but we tend to get distracted by urgent items and the ever present need to keep DNFB at bay and our resolution to keep on top of our work planned objectives goes by the wayside. Keep your plan out and refer to it when you need to make tough choices or support current tactics and stay the course to achieve your goals.

Easier said than done, but staying true and following your game plan will help you reach the goal-line every time!

Five Tips to improve the Coding Query Process

  1. Utilize physician liaisons who understand the importance of complying with coding guidelines as hospitals have a legal and ethical obligation to ensure that they help physicians produce compliant documentation.
  2. Provide education to the medical staff focused on “what’s in it for them”—e.g., using accurate documentation language that complies with coding guidelines to assure that expected LOS and morbidity are supported.
  3. Help physicians understand that accurate documentation assures their public profiling will represent individual caseload and outcomes at a proper severity/acuity level.
  4. Use audits to monitor improvements and provide statistical feedback to the medical staff by comparing physician and department documentation patterns and query response rates.
  5. Consider engaging an HIM-based CDI consultant who can help the CDS staff become the translator between the language of medicine and the language of coding, which is what the process of querying helps to identify through the documentation improvement process.
