Welcome to the July edition of the Wings2014 Newsletter

We are only a few short weeks away from WINGS2014, and preparations are moving on a pace for the organising team, as I am sure they are for you all.

 The participant team have asked me for my thoughts as we count down to August…

 At WINGS2014 you and your young people will meet many new friends, and together you will discover new experiences and cultures. Your young people will go on many new adventures and will cement life long memories of their time is scouting and guiding.

Please encourage your participants to take every opportunity to get involved with the life of the event, be that within the sub camp, out in the programme zones, in the Squircle or through the regular chances to “entertain” their fellow campers.

 I want every leader, participant and staff member to have an experience that is more than they imagined before coming to WINGS2014. Please think about how you as leaders can help make that a reality.

 Lastly, “discover together” is our strapline. I want everyone to leave WINGS having discovered something new about themselves, or our world, or about someone else. If you want share this thought with your young people, it will put us on the right track from day 1.

WINGS2014 Registration Forms – Please pay urgent attention

We have noticed that many Units have registered Under 10s as attending Wings – but we have not had corresponding forms completed for them. We assume these are children of Leaders attending the event.

We thought it sensible to point out that EVERYONE attending the event will need to complete the forms on the website – irrespective of the age of the individual. We have to get wristbands printed for every attendee – and those individuals who have yet to complete their forms are pushing our deadlines to the maximum.
For the avoidance of doubt – anyone arriving at Registration to attend the event who has NOT completed the required paperwork WILL experience potentially significant delays whilst we sort it out.

We do appreciate that you all have lots to do in preparation for the event – but we are conscious that the last thing anyone wants is for the Registration process to be disrupted for everyone for the sake of a few.
 
WINGS Challenge Award

Want to achieve a unique award, challenge yourself and have fun? Well the WINGS Challenge Award could be just what you need. There are 3 different badges available depending on your age group – Windsor (10-13 years), Herald (14-17 years) and sovereign (18+ years and staff).

The award involves completing a series of challenges from different zones – personal, challenging, creative, international, team challenge, doing a good deed and special daily director’s challenges. Challenges range from joining in the ‘Challenge Team’ flash mob, getting on the WINGS radio, to swapping a badge with someone from another country. Information on how to achieve this award will be given out at WINGS. Cub and Brownie Day
During WINGS on Wednesday 1000 Cubs and Brownies will be experiencing a day in the life of WINGS. They will be taking part in some of activity zones, participating in the world fair and watching WINGS has got talent in the evening. 2014 is year to celebrate 100 years of Brownies, so the Cubs and Brownies will be having a birthday picnic with music and birthday cake.

To get the best idea of what it is like at WINGS they will be coming to dine with you, in your sub camp, with your group, so get ready to host and for them. If any explorers would like to be a young leader for the day and take a group of Cubs and Brownies around, and sign off part of your WINGS Berkshire Challenge Award, then please get in contact with the ‘WINGS 2014 Berkshire Challenge Award’ group on Facebook.

Freezer Blocks

As at past WINGS we are hoping to offer a freezer block freezing service. If you would like to take advantage of this you will need to bring at least two named sets of freezer blocks with you when you come.  
You can then bring one set to the food team on the Saturday and exchange them on the following day for a fresh set and so on.  There will be a designated drop off point. 

Please put each set in a carrier bag that has been named with the following:-
Unit Name
Unit ID
Sub camp
Please ensure both the freezer blocks and the carrier bags are named in the same way.
If they are not named we will not be able assist in their safe arrival back to you!
 
 

WOW

Ever fancied taking part in 'Come Dine at WINGS... Well now is your chance. During WINGS on Wednesday, 1000 Cubs and Brownies will be spending the day at WINGS. In the evening they will all be dining with some of you and your units (we will nominate and decide on the 100 groups who will be hosting, before letting you know at WINGS) so get cooking and show them what camp food is like. Each group will get approximately 10 Cubs/Brownies and their leaders to host and cook sausage, mashed potatoes, baked beans and gravy for. Extra food will be provided along with disposable plates and cutlery so no need to bring anything extra. The sub camps are the heart of WINGS and if you are lucky enough to host some these special visitors to WINGS we know we can rely on you to leave them with a forever memory of WINGS 2014.


WINGS booking in process

We have over 8,000 people to register on the first day of WINGS and no-one will be able to access the site until they have been registered and given a security wristband. We would therefore ask you to adhere to your given arrival time and to the booking in process which is laid out below so that we can get off to a smooth start to WINGS 2014.

If you are arriving by coach:
On arrival at the WINGS site please send one of your Leader Team to the booking in area where you will be met by one of the WINGS Admin Team.  They will walk you through the process:
 
  1. Unit Leader registers themselves (remember to bring ID)
  2. Admin Team will identify your Group and give you your wristbands, a checklist of the participants that we are expecting and an Information Handbook
  3. Admin Team will escort you back to your coach and wait while you give out wristbands
  4. While this is being done remainder of Leader Team should go to booking area with ID and register themselves
  5. Once you have established that all members of your Unit are registered you will be able to access the site – please note that you will need to carry all your own personal kit
  6. If you have any known late arrivals please keep their wristbands and come to the security gate to meet them when they get to WINGS
  7. If you have any non-attendees please return their wristband to the Admin Team so that we have an accurate of who is on site
 
For local Units where parents are bringing Scouts individually:
Please arrange to meet your Unit members at an agreed point and then send  one of your Leader Team to the booking in area where you will be met by one of the WINGS Admin Team.  They will walk you through the process:

Although all arrival instructions are referring to the Group leader, we are happy for this to be any one of the leader team in the group.
 
Once you have completed the registration and gone through the main gate please make your way to the sub camp.  On arrival at the sub camp the group leader needs to go to the sub camp office and the sub camp team will them take you to your camping area.
 
Once you enter the site anyone wearing a pink hi vis vest will be able to assist you.
 
 
Knives
 
No knives other than those required for cooking and eating are permitted on the Wings site.  It is understood that leader teams may require the use of one during the set up and dismantling of their site, however this must be securing stored during the event itself.
 
Uniform
 
Guide and Scout Uniforms will be required for the opening ceremony.
 
Do you play an Instrument
 
We are looking for people who play and instrument such as Bugle, Bagpipes, Trumpet etc. (you may know of many more)  that would be will to help us signal the time for the flag to be raised each morning.  If you are interested and can help please email sue.clarkson@wings2014.org.uk

Leaders Responsibilities - Activities
 
It is the Group Leaders responsibility to ensure that if any young person's parents have opted out of an activity at Wings to ensure that the young person does not take part in the said activities.

Wings2014 can take not responsibility for a young person taking part in an activity that their parents have opted out of on their behalf.

We can accept equipment from the 28th July onwards if we know it is coming but it needs have left site by the 12th august, we will have a forklift only until the 12th August and will not be able to accept any collections after this date.

Groups Leaders - Documents you need to bring
 
 
  • All over 18's need to bring Photo ID to obtain their wristbands - If you or any over 18's in your group do not have photographic ID then please contact sue.clarkson@wings2014.org.uk so that we can make alternative arrangements for you.
  • Forms which have been completed and signed by Parents, for all participants in your Group.  These will remain with you unless specially needed by Wings staff.  Please be aware you may need to produce the shooting permission at the activity base.
  • Photographs of all young people in your group, these will remain with you unless needed by our security team in the event of anyone going missing.
  • At registration you will be asked if you have a mobile number for a contact onsite, we woudl like to hold this on record in the event we need to make any contact with your group directly or in an emergency.
Departure Process
 
Everyone has been given departure time and we ask you to stick with these as much as possible to give us an even distribution of people leaving site.
 
Before leaving site there will be a number of task you need to ensure have been completed, your sub camps will be providing you with a check list that will need their signature to show completed.
 
These include:-
 
  • Leaving your own site area cleared, clean and tidy.  All rubbish disposed of and nothing left on your area
  • All food crates have been returned
  • All hired tables and chairs have been returned to the point advised
  • any moneys owing to Wings2014 have been paid in full, including hire costs etc.
  • Any equipment borrowed from other groups has been returned.
Once your sub camp have signed all points on their check list you will be able to leave site.  This works in the reverse from arrival.
 
Vehicles with appropriate permit will be allowed on site to load equipment, drivers must have the wristband to allow them on site or will need to register at staff registration if they don't have one.
 
Participants will walk off site, being scanned as they leave.  All partipants will need to be scanned off site, if they are being handed to parents who are staff and will be remaining on site to work, the group leaders will need to arrange to meet the parent at the gate to hand the participant back to the parents.
 
Groups will need to arrange a time for parents/coaches etc. as they did for arrival, appropriate parking permits will still be required.
 
It is important that group leaders ensure coaches know:-

Safe storage of Passports and travel documents at WINGS
 
Passports, identity cards and travel documents can be checked in at the Info Centre, located in the Squircle.
They will be sealed in a plastic wallet and a receipt given.
They will be stored securely until the end of camp, when they will be returned on sight of the issued receipt.
All other monies and personal belongings remain the responsibility of the individual.
 
 
DON’T FORGET!!!!!


Archery – please wear long sleeves
No open toed shoes on Onsite Zones – including Perform It!
Soak It – be prepared to get wet …
 
Don’t forget to bring your water bottles – especially if it is hot.  It is thirsty work!
