Preparations have begun for our holiday Silent Auction:

please consider donating an item or service
and/or joining the Auction Committee
Dear Fellow Parents,
As the days grow shorter and colder we have begun thinking of the school festivals on the horizon, both looking forward to the events themselves and appreciating the time needed to prepare for them. 
One of the events the PTA has already started planning for is the online Silent Auction, a fundraising event that has raised over $45k in just the past three years, benefiting a variety of school initiatives. This year we are setting an ambitious goal and this year's contribution will be to the Diversity, Equality and Inclusion (DEI) Fund, which supports curriculum enrichment, increases cultural diversity and expands scholarship opportunities.

With a growing school community, we feel this year's Silent Auction could be a huge success, and we need you to join us in organizing it.  To have a successful auction we need to:

-Ask for and gather donations
-Photograph all items
-Gather information for each listing
-Upload everything to the online platform
-Organize who gets what after the auction's end
-and more...

What we need for the online Silent Auction

A donation of service(s)

For donation of services, we have found it best to have the following details with your offering:
  • Up to four photos representing your work or yourself.
  • Any appropriate links, whether to your website and/or social media.
  • A physical address of where the service will happen, if applicable.
  • Restrictions on travel if applicable - eg., what radius you are willing to travel.
  • The method by which somebody needs to schedule their appointment with you. You may want to consider a generic phrase such as "Appointments to be made in advance, and parties will select days/times that work for both the bidder and the service provider" or something similar and appropriate.  If you specifically book services a certain amount of time in advance, eg. a month or three months out, that should be put in the listing.
  • A bio about the business or person performing the service.
  • If this is a Gift Certificate, please note how it will be sent to the winner after the auction, eg. sent in the mail, or sent via email. If we will just be connecting the winner to the donor via email, that should be noted.  Example: "The winner of this auction will be connected with Handcrafted Cookies to make future arrangements."
Please fill out a Silent Auction form (click here), which includes:

Fair market value of your donation, and if you have a minimum bid that you would like to set. If this information is not provided, we will choose something we think is appropriate.
An address for and phone number for you. The business department will send you a tax-deductible receipt and an acknowledgment note.
Donation of physical item(s)
  • Outside of a few exceptions, physical items must be new.
  • The physical item brought to the Auction Committee (HVS) before we can list it online.
We will need several things in order to create the best listing for your donated product: 
  • Photos of the product.  We have found it works best to have up to four photos representing the item. We plan on taking these photos; however, if  you already have high quality photos we would love to have your photograph (s).
  • Any appropriate web links - to a website and/or social media page that relates to the item or the business/person donating the item.
  • A short description/bio of the person or business making the donation. If it is a business with a physical location please list the address. There are of course some items that are just donations and the donor does not wish to be credited. That is totally acceptable.
  • We will need to determine if the item can be shipped. and anticipate any cost associated with this.  We can happily ship physical gift certificates
Please fill out a Silent Auction form (click here), which includes:
Fair market value for your product.  If you have a minimum bid that you would like to set, please let us know. Otherwise we will choose something we think is appropriate.
