2016 Annual Dues Notice

This week you should have received the payment coupon for your 2016 annual homeowners assessment ("dues"). We apologize about the delay in getting the coupon books mailed and the communication of such changes to the community.

We had planned for the budget and dues to be finalized in early December after some final revisions of our 2015 Reserve Study were completed Thanksgiving week. However, on December 1, Southern Landscape Professionals unexpectedly cancelled the maintenance contract for 2016, leaving us to quickly scramble to find a new landscape maintenance service provider and negotiate a new contract, working up until the final week of 2015.

The reserve funds and landscape maintenance expenses are some our larger budget line items, and we were unable to finalize the annual budget and determine assessment amounts until these items were resolved.

For the majority of homeowners, the 2016 dues have remained the same as last year; however, for those served by a private alleyway, there has been an increase to allow for a catch-up in reserve funding to cover projected alleyway capital expenditures in the coming years (per the recent 2015 Reserve Study, Alley Reserve Funding Alternative 2).

Regular assessments will be $208 for each homeowner lot, plus an additional $65 annual alley assessment charged for each homeowner lot served by a private alleyway. Again, this represents no change over the 2015 dues for 535 members. This will be a $35 increase over the 2015 dues for those 65 members funding the alley reserve fund.

The payment due date will remain February 1, just as it was when moved back last year to that date and which had been a change from the January 1 due date in the years past.

NOTE: If you have setup online recurring payments via credit card or e-check at the William Douglas site, then once you receive your payment coupon, you will have to login to your account and edit your recurring payment to the new amount. Only homeowners can change the authorized payment amount. You may also login and make a one-time online payment at the William Douglas site.

More detailed information on the 2015 year-end financials and the 2016 annual budget will be sent out in our Annual Meeting mailer packet. These financial items will also be posted to our HOA website.

Community Considerations

Christmas Decorations

We hope that everyone enjoyed a wonderful holiday season. It was a pleasure to see so many homes in the community decorated for the holidays. We do ask that you be considerate to remove your Christmas lights and decorations in a timely manner after the holiday season has past. And, when disposing of your Christmas tree, which should likely already be done by now for safety purposes, please curb the tree and do not place out in the street. Thanks for your cooperation.

Street Tree Pruning

The next couple of months are ideal times for the pruning of your street trees. As a reminder, street tree maintenance is the responsibility of the homeowner. More reminders to come on this in the coming months, but note that the board will be taking enforcement action of non-pruning through our violations process starting March 1. Again, your cooperation is appreciated. 

Street Parking

Reportedly, our streets were developed to a Town design specification for a street width that would not adequately allow for on-street parking. However, the streets in our community (alleyways excluded) are Town of Holly Springs public roads. There doesn't appear to be any Town parking ordinance to enforce the Town design guidelines for street widths like ours. As the HOA does not have the authority to enforce public roads and/or issue citations for on-street parking, we can only continue to remind and once again ask that you be considerate of your neighbors and promote the safe passage of emergency, bus, and utility service vehicles, not to mention those vehicles of our own residents and guests.

Sunset Oaks Pool Park & Loose Dogs

The Sunset Ridge Racquet & Swim Club (SRRSC) management has relayed reported complaints of our community members allowing "loose dogs" on their park grounds next to the Sunset Oaks pool. Please be mindful of Town ordinances requiring your pets to be on a leash on any community or public properties. Also a reminder that this is private property for SRRSC members, their guests, and approved renters of SRRSC space.

Email Updates & HOA Website

While many of our members are signed up to receive these email updates as registered users of our HOA website (, there is still a large number that are not registered or receiving updates. Please help spread the word with your neighbors to have them sign up. Thanks in advance.

Date Set for 2016 Annual Meeting

It's that time of year again! Please save the date for the Sunset Oaks HOA Annual Meeting to be held on Wednesday, February 3, 2016, at 7 PM, in the Sunset Oaks Pool Clubhouse owned by Sunset Ridge Racquet & Swim Club (at 100 Marsh Landing Drive).

The Annual Meeting is an important opportunity for the membership to hear a report on the past year, understand and ratify the new year’s budget, and elect new board member(s). There will be an open forum session at the end of the meeting (which is capped with a three-minute time limit per speaker) to express any statements, concerns, or ideas to the board. Please contact either Community Manager Kali Herring or Secretary Jake Bohall by January 16 to submit any topic(s) you wish to discuss in the open forum.

For 2016, there will be one open board position up for election to represent the north side of the neighborhood ("The Woods"). Ashlie Cade, Board of Director member and current HOA treasurer, will be ending her current term after the Annual Meeting. We thank Ashlie for her years of dedicated service to the Sunset Oaks community.

Annual Meeting mailer packets with the 2015 financial statements, 2016 budget, HOA board nomination form, and other important documents will be sent out within the coming week.

Please also remember that a quorum of 20% of the membership (that's at least 127 members or more) is required to be present, either in person or by proxy, at the Annual Meeting to conduct business, such as the election of a board member.

Help us spread the word by reminding your neighbors and friends in the community to attend the Annual Meeting.

Open Call for Board & ARB Nominations

As mentioned, there will be one open board position up for election at the 2016 Annual Meeting. The nomination must be for someone from The Woods, as the five-member Board of Directors is to be comprised of three members representing the south side of the neighborhood and two members representing the north side of the neighborhood.

Additionally, the Architectural Review Board (ARB) has two openings for members to actively participate in the ARB process, and the Board of Directors is currently accepting nominations for review and appointment.

Both the Board of Directors and the ARB members are strictly volunteer positions, as is the case with all of our board and committee positions.
